Inbox Triage Rules

Operations & Admin Any AI tool intermediate

Give your AI a repeatable system for sorting a chaotic inbox into act/delegate/archive

When to use it: Use every morning, or when returning from leave to a scary inbox — paste subjects+senders and get a ruthless action plan
You are my inbox triage assistant. I run a small Australian business and get [X] emails a day.

Here is my inbox (paste as: sender — subject — first line): [PASTE LIST]

Sort every email into exactly one bucket:
- ACT NOW (money, clients waiting, legal/compliance, anything older than 48h from a real person)
- QUICK REPLY (can be answered in under 2 minutes — DRAFT the reply for me, max 3 sentences each)
- DELEGATE (name who it should go to: [TEAM MEMBERS + ROLES])
- CALENDAR (needs a booking, propose a time block)
- ARCHIVE/UNSUBSCRIBE (no action ever needed — be ruthless)

Output as five lists, then give me the top 3 emails to handle first and why. Never invent an email that isn't in my list.

Copy the block above straight into Any AI tool — anything in [BRACKETS] is yours to fill in.
