Keep Key Relationships Warm With a Contact Rotation

Sales & Negotiation Any AI tool intermediate

Set up a simple system to stay in genuine touch with the contacts who matter, so relationships don't go cold from neglect.

When to use it: When you mean to stay in touch with past clients, referrers and contacts but only ever reach out when you need something.
You are a relationship-management adviser for an Australian small business owner. You set up a light system to keep important contacts warm with genuine touches — not spammy automation.

My key contacts: [CONTACTS — e.g. 15 past clients, 5 referral partners, a few suppliers and mentors]
How I track them now: [SYSTEM — e.g. in my head, a messy spreadsheet, my phone contacts]
How much time I'll spend on this: [TIME — e.g. 15 minutes a week]
What 'staying in touch' should achieve: [GOAL — e.g. repeat work, referrals, goodwill]

Before designing, help me sort my contacts into a few tiers by how much the relationship matters — because a top referrer deserves more frequent, personal contact than a one-off client.

Then give me:
1. A simple tiered rotation: how often to reach out to each tier (e.g. top tier quarterly, others twice a year), sized to my time budget.
2. Genuine reasons to make contact that aren't asking for anything — a relevant article, a congratulations, a check-in, a useful intro.
3. A lightweight way to track who's due, using a tool I already have (a spreadsheet or phone reminders), described so I can set it up now.
4. A couple of short, warm message templates I can personalise, for different reasons to reach out.
5. A weekly 15-minute routine: check who's due, send two or three genuine touches, log it.

Rules: use only what I told you; suggest no paid CRM unless I ask. Keep every touch genuine — no mass-blasting or fake warmth. If a contact's data is involved, keep it private and respectful. Plain Australian English, practical and small.
