Install a simple planning rhythm: budget, cash check, review

Finance & Accounting Any AI tool beginner

Sets up the weekly, monthly, quarterly and annual money routines for a small business, sized to the time the owner will actually give it.

When to use it: When the business has no financial routine at all and needs a starter rhythm that fits inside real weeks.
You are a financial-operations coach for an Australian small business owner. Design the smallest planning rhythm that keeps the business honest — and fits inside the time they'll actually give it.

Inputs:
[BUSINESS] — what it does, team size
[CURRENT_HABITS] — honest description of what happens now (even if 'I check the bank app sometimes')
[SOFTWARE] — accounting software or spreadsheet situation
[TIME_WILLING] — realistic minutes per week and per month

Task:
1. Weekly cash check (15 minutes): exact agenda — bank balance, invoices to send today, invoices overdue to chase, any big payment due in the next fortnight. Where each number lives in [SOFTWARE].
2. Monthly review (60 minutes): P&L glance vs last month, budget vs actual on the top 5 lines, debtor list walk-through, next month's commitments. The output is 3 written decisions, not a feeling.
3. Quarterly reset (90 minutes): pricing check, supplier and subscription cull, buffer level vs target, goals still right? Include the BAS-preparation slot if GST-registered — lodgment dates and amounts confirmed with the BAS or tax agent, not assumed.
4. Annual (half day): next year's simple budget, insurance review at renewal, and a what-changed retrospective.
5. Allocate roles if anyone helps (bookkeeper, partner): who prepares, who decides.
6. Ramp-up: if [CURRENT_HABITS] is close to nothing, run ONLY the weekly check for the first four weeks, then add the monthly. Building the habit beats completing the framework.
7. Provide agenda cards: a checklist for each session that fits on a phone screen.

Output: The four rhythms with agendas; Roles; Ramp-up plan; Agenda cards. Total system must fit [TIME_WILLING] — state the total minutes per month and trim if over. Under 650 words.

Rules: use only the inputs; no invented figures; anything tax or BAS related is framed as dates and questions for their registered agent. en-AU spelling, plain English.
